We will strive to get back to you within several days with best possible price and inclusions, as well as to provide you with a smooth trip from your first contact to the day your group returns.
Ideally you should start promoting your group 12 months prior to departure, although we often do put together groups 9 - 6 months prior to departure.
Do you need our help in finding a priest or do you have one already? Our pricing will offer you an opportunity to invite a spiritual leader of your choice. Remember one of the most important components of any pilgrimage is Mass Daily..

- First step is to pick a departure date and itinerary
- Size of group can be approximate, however plan on minimum 20.
Then it is you job to promote your group to your prayer group, fellow parishioners, other churches, friends, relatives and club members. To advertise in the church bulletin or local paper. Organize a pre-tour and a post tour or get together.

You may chose to do collection of deposits/final payment or we can do it for you.

For large or small groups, we will work together to design a unique and memorable pilgrimage. Each of our agents is knowledgeable in both group sales and operations. Pilgrimages are ideal for family reunions, church groups, youth groups, student groups, class reunions, senior citizens, singles, interest groups, neighbors, couples or anyone seeking the spiritual refreshment that only a pilgrimage can provide. Our goal is mutual with the one being called to coordinate a group pilgrimage.
We know that you want your pilgrim to come back for many years to come. Thus, pilgrims will join you on future journeys and have a deeper respect for your ministry. We also know you need assistance in promoting your tour including professional brochures and advertising guidance.
These many years pilgrims have taught us a fundamental truth about organizing fruitful religious travel: Initial planning and itinerary building are essential to a successful pilgrimage. For this reason, we will spend time to customize your itinerary to your specific needs. We will organize Mass scheduled daily or at intervals along the way or times of quiet for prayer. Our staff understands the needs of a Pilgrim and we go out of their way to meet those needs.
Promotion
Once you have picked your date, priest, destination you must pass the word out and invite others to join your group. We will help you set up promotional material, and we are very specific that it must show clearly what is included (and what is not included), itinerary, price, dates, terms and conditions. Each person that signs up must acknowledge that they have understood terms and conditions
Your main responsibility is to promote your group, spread the word, brochures and webpage. Share about your trip to everyone you know.
Your are the tour host, so you will be the liaison with the overseas tour guides in coordinating daily activities and if any changes needed and resolving any situations which may arise.
The overseas tour escort is a highly trained professional is with you at all times, leaving you free to enjoy your trip and take care of the needs of your pilgrims.
Coordinating a group pilgrimage will be one of the most rewarding experiences. You and your pilgrims will COME BACK FOR MORE.
GROUP PROCEDURES, DEADLINES and OPERATION
Once you give Amiable Tours a "go ahead" we will proceed to make allotments with airlines, hotels, buses, sightseeing, guides and other services.
Registration forms along with deposits will be sent by your pilgrims / tour participants or by group coordinators as they are received. The tour participant is confirmed once their registration is received. Names on the registration form must match name on passport. It will not be possible to change the name.
ALLOTMENT UTILIZATION SCHEDULE
120 days prior - Preliminary name list, rooming list and deposits.
At this time we should have approximately 40% of our allotment sold.
90 days prior - Preliminary name list, rooming list and deposits are revised.
At this time we should have approximately 50 - 60% of our allotment sold.
60 days prior - Final Lists and Final Payments Due Final Airline Name Lists are due. Rooming List, please clearly indicate roommates, must note any special rooming requests, especially those requesting single and triple rooms
Please list any special requests or conditions. Names of Clergy (as per passport and as they would like to be called). Special meals or special diet requests.
List any flight deviations, add-on flights.
Send insurance recap.
Upon receipt of above information, we will revise final invoice.
ALL FINAL PAYMENTS ARE DUE. If payments are not made by 60 days prior reservations are subject to cancellations.
30 days prior / - 206 Tours is processing final documents & airline tickets
21 days prior / - up to 15 days prior your group should have airline tickets & portfolio of travel documents
Note: Within 60 days prior - and up until 7 days prior, 206 Tours will make every effort to accommodate new bookings, providing that space (air and land) is still available. If confirmed, payment in full must be sent immediately or within 48 - 72 hours of confirmation.
